Metadata (Holdings)
These Guidelines are to be used in formatting metadata
records using the "Digital
Library Data Dictionary."
Guidelines
1) Begin each data element in a record on a new
line (CR/LF at end)
2) Use the ASCII Latin-1 character set; use ISO
entities for special characters as needed. (See
sample guidelines.)
Do not use HTML or other markup language
elements in DLDD records.
3) The structure for each line of data is: DLDD
tag, space, vertical bar, space, tag occurrence
number, space -- followed by data content, e.g.,
e.g., dd001 | 1 | [data
content]
4) For some DLDD data elements, a second-level
occurrence number is required, e.g.,
presentationAddress | 2 | 1 | cdd.p41.b.1-0.600.jpg
This is followed by another vertical bar and a
space.
NB: The reasons for the primary and secondary
occurrence numbers are several and include: a)
uniquely identifying elements that may have the
same DLDD tag for purposes of database loading
and management; b) linking together elements that
are dependent on one another for intelligibility;
and c) providing--in some cases--a fixed order
for purposes of presentation / display when this
could not readily be derived from the content.
5) Indicate the beginning of a discrete DLDD metadata
record by preceding the first element of the record
with a line containing only "###". E.g.,
[Last line of previous record}
###
[First line of next record]
This convention should be present even if there
is only a single record in a file.
6) When transmitting one or more files of DLDD
formatted records, use file names in the following
format:
institution_idenfier.project_name.file_number.date_of_creation.txt
e.g.,
CtY.apis.6.20000501.txt
(Yale, APIS project, file #6, May 1, 2000
text file)
When feasible, use the MARC
Code List for Organizations for the insitution
identifier and ISO 8601 for the date element.
